Content - Content is ‘king’ in making e-newsletters successful.
- It really depends on what type of newsletter you want to send out
Educational Newsletter - This e-newsletter must include content that is useful and educational to the recipient
- Typically it is not a sales letter. A small portion of the newsletter can be a sales pitch, but the information should help the recipient in some way.
- These types of newsletters help with customer retention and improve customer loyalty.
Sales Newsletter - This has a call to action for the customer.
- Typically these newsletters include coupons or sale promotions.
- This provides links for the customer to visit a certain section of the website, to buy a product or service.
- These types of newsletters help acquire new customers.
Content Generation - The Customer comes up with the content.
- Prographic Design will not help come up the content, yet we will give you an honest opinion on your content.
- Prographic Design highly recommends, JC Consulting Services (www.jc-cs.com) for such services.
Copywriting Services - Prographic Design doesn’t provide copywriting services. However we highly recommend JC Consulting Services (www.jc-cs.com).
Response Rates - There is no typical open rate. The rate obtained for any list, or group of lists will depend on how it was measured, when it was sent, the size of the list and a zillion other potential variables.
- As list size goes up, the open rate tends to fall; possibly because smaller companies are more likely to have personal relationships with their list subscribers.
- Typical small business open rates are much higher than the generic sectorized numbers provided below.
- There is no shortage of benchmark numbers out there, but even between benchmark figures you will find big variation in the reported open rates. So instead of giving a specific percentage, we've come up with the following chart, for a very generic sector based numbers. These open rates only apply to large campaigns.
 | Results: Reporting - Reporting is available online, 24/7.
- You can track how many recipients opened your email, clicked a link, unsubscribed, forwarded your email to a friend and loads more.
- Our simple ‘Opens Over Time Report' shows exactly who is checking out your email, how many times they're doing it, and when they did it. You and your clients can get an overview for the life of the campaign or drill down all the way to minute by minute detail.
- Link Activity Report makes it so easy to guage what your subscribers are interested in. Not only can you see the total number of clicks for every link in your email, you can also find out who clicked that link, when they clicked it and how many times.
- By including a forward to a friend link in your campaign, you can easily see which subscribers are forwarding your email and who they're forwarding to.
- While we process all bounces and unsubscribes for you and your clients automatically, you can still see exactly who, when and why they left your list.
| Permissions - You can only email subscribers, if you obtained their permission in any of the following ways:
- They opted in via your web site
- They completed an offline form and indicated they wanted to be emailed.
- They gave you their business card and you have explained to them that you will be in touch by email, you can contact them. If they dropped their business card in a fishbowl at a trade show, there must be a sign indicating they will be contacted by email.
- They purchased something off you in the last 2 years.
- Who you cannot email within our campaign
- You obtained the email addresses from a third party.
- You scraped or "copy and pasted" the addresses from the Internet.
- You haven't emailed that address for more than 2 years
Frequency - The following survey shows the results of decision makers preference of receiving E-mail newsletters.
- The frequency requirements of every business are different.
- Our recommendation for most businesses is a bi-weekly newsletter.
 | | | Source: EROI Q2-06 Stats Study | Simple text email vs HTML email A picture is worth a thousand words. The average attention span on an email is about 2.8 seconds. Will the text based email rise above the clutter of the daily email spam? Source: EROI Q2-06 Stats Study We are experts in Graphic Design. We will make your email shine through the clutter. Unsubscribing Single Click. Recipients can unsubscribe by a single click. They are automatically removed from the subscriber list. Legal - Yes we take great care in being legally compliant in all our campaigns.
- Specifically all our campaigns are in line with the requirements of CAN-SPAM (Controlling the Assault of Non-Solicited Pornography and Marketing) act of 2003 which went into effect in January 1 of 2004.
How we abide by the law: - We have a provision to use double opt-in subscriber lists
- Process all unsubscribe requests immediately
- We only send campaigns that use a legitimate from name and from email address
- We use accurate and descriptive subject headings
- We use a valid reply-to address that can function as an unsubscribe mechanism if required
- We always include the street address of our customers
- While following these steps can't provide an absolute defense to a CAN-SPAM violation, it should certainly reduce the chances of a violation occurring in the first place.
Spam vs Email Newsletters - Spam is any email you send to someone who hasn't given you their direct permission to contact them on the topic of the email.
